Job Posting and Recruiting Guidelines

Intern

Third-party recruiters who charge students for services will not be permitted to use any USI recruiting services.

If you need further assistance, please contact our office at 812-464-1865 or email us at career@usi.edu.

Full-Time Jobs

When posting a position on our Symplicity CSM system (USI Career Launch), keep in mind current students/alumni are seeking professional experiences for degree-seeking majors. Career Services and Internships reserves the right to post/not post a position based on current students and alumni needs. Our more competitive majors such as engineering often have full-time job offers one or more semesters before they graduate. Plan to post your jobs early and attend USI Career Events to reach these students.

Part-Time Jobs

Career Services and Internships coordinates a student employment referral program. We post your part-time or summer vacancies for registered students for your consideration. As always, there is no charge for this service.

Basis of Compensation

For employers to participate in our job postings or recruiting, they must offer bona fide positions that do not require new hires to pay a fee for training or other job-related expenses. Employers who compensate employees based solely on commission (i.e. without a base salary as well) must clearly disclose this information in the job description. Employers who compensate employees based on partial commissions must disclose accurate estimates of expected earnings in their job descriptions. They must also present an accurate base salary/expected first-year salary at that time.

Non-Discrimination Policy

The University of Southern Indiana makes its services available to employers who do not unlawfully discriminate in the selection of employees on the basis of national origin, race, religion, sex, sexual orientation, age, disability, or any other basis prohibited by applicable law.

Confidentiality Policy

All materials received from our students (letters, resumes, transcripts, via email or hard copy), should be shared only with those persons at your organization involved in the hiring process.

Third-Party Representatives

As stipulated in these guidelines, under no circumstances will third-party recruiters disclose student information other than for the original recruiting purposes nor can it be sold or provided to other entities. Online job posting and resume referral services must prominently display their privacy policies on their websites, specifying who will have access to student information.

Third-party recruiters must disclose the client company name to USI staff if requested.

Only third-party recruiters which do not charge a fee to the candidate/student may e-mail job opening information to USI Career Services if accompanied by information describing the organization and its fee structure.

All interviews should be directly scheduled and conducted by the organization's employees, rather than by third-party representatives. For a definition of a third-party representative or recruiter, please see NACE's Third-Party Recruiting Policy.

Third parties

Exceptions to the above policy may be made in the following cases:

  1. If the employer has initiated a request that this office work with a third party for college recruiting logistics (services will be limited to recruiting logistics).
  2. Career Services will consider working with third parties which are the exclusive hiring agency for a particular organization that has provided written documentation of this arrangement.

The Career Services staff will gladly review additional written requests for exceptions.

NACE Principles for Ethical Professinal Practice

Definitions

The National Association for Colleges and Employers (NACE), the national professional association for college career services offices and employers, defines third party recruiters as follows: “Third-party recruiters are agencies, organizations, or individuals recruiting candidates for temporary, part-time, or full-time employment opportunities other than for their own needs. This includes entities that refer or recruit for profit or not for profit, and it includes agencies that collect student information to be disclosed to employers for purposes of recruitment and employment."

The above definition includes, but is not limited to, the following entities regardless of the fee structure used by the entity to charge for services.

  1. Employment agencies/organizations that list positions for a number of client organizations and receive payment when a referred candidate is hired. The fee for listing a position is paid either by the firm listing the opening (fee paid) or by the candidate who is hired.
  2. Search firms—organizations that contract with clients to find and screen qualified persons to fill specific positions. The fees for this service are paid by the clients.
  3. Contract recruiters—organizations that contract with an employer to act as the employer’s agent in the recruiting and employment function.
  4. Resume referral firms—commercial organizations that collect data on job seekers that is marketed to prospective employers. Fees may be paid by the employer, the job seeker, or both.
  5. Commercial job listing/resume collection websites—it is not compatible with the mission of Career Services to promote businesses that collect candidate resumes for the purpose of marketing those to employers.

Temporary Agencies

Temporary agencies/contract firms that contract with employers to provide individuals qualified to perform specific tasks or complete specific projects for a client organization may be considered as employers, not third-party recruiters. Individuals hired would perform work at the client organization, but are employed by and paid by the agency. Temporary agencies will be expected to abide by the professional practice principles set forth by NACE for employer professionals. Temporary agencies may forward information about openings (as described above in paragraph 2) as long as the temporary nature of the position is clearly stated in the job description provided.

As stipulated in these guidelines, third-party recruiters will not disclose to any employer, including the client-employer, any student information without obtaining prior written consent from the student. Under no circumstances can student information be disclosed other than for the original recruiting purposes nor can it be sold or provided to other entities. Online job posting and resume referral services must prominently display their privacy policies on their websites, specifying who will have access to student information.

Third-party recruiters must disclose the client company name to USI staff if requested.

No Solicitation Policy

The University of Southern Indiana has a no-solicitation policy. No canvassing, peddling, soliciting, distributing, or posting of any written or printed material by outside individuals or organizations is permitted on the grounds or in the buildings, or on equipment or networks owned/operated by the University without the written permission of the president. Such solicitations that are prohibited include the use of electronic mail and web page solicitation. For additional details, see the University Handbook.
