Position Description

 Primary Purpose

As part of a team approach, this position assists with implementing office programs and services and Screaming Eagles Orientation, and supervising student assistants.

 Essential Functions

 Assist in the implementation of office programs and Screaming Eagles Orientation.

  • Assist with the development and facilitation of first year and parent and family programming.
  • Assist in the logistics of office programs, including but not limited to managing catering orders, coordinating volunteers, reserving space, creating signage, and running events.
  • Assist in the development, management and implementation of communication to new students and families.
  • Assist in the development of print, electronic, social media and web materials for programs.
  • Coordinate, manage and implement the check-in process for Screaming Eagles Orientation sessions (16+ per year).

 Assist in the development and supervision of student assistants.

  • Assist in the supervision of student assistants within the office.
  • Assist with the recruitment and hiring of student assistants.
  • Provide training, engagement, and ongoing development for the student assistants.
  • Provide day-to-day oversight and support to the student assistants, working with the Assistant Director on staff scheduling.

 Oversee the development and implementation of online orientation.

  • Coordinate the updating and tracking of the online orientation program using a web-based platform. This responsibility includes requesting updates and changes to departments across campus, editing the content online, updating photos, testing the system, developing new content, etc.

Support the overall operations and services of the office.

  • Respond professionally and courteously to inquiries to the office, whether by phone, in person, chat, or email, and assist students in utilizing the office's services.
  • Participate in all office staff meetings.
  • Participate in one-on-one meetings with the supervisor.
  • Assist professional staff in developing various programs, resources, and research as determined by office need.
  • Serve on University committees and represent the University at selected local, state, regional, and national professional conferences and meetings as requested.

Essential Knowledge and Skills

Must be accepted into a graduate program at the University of Southern Indiana when offered the position and must be enrolled as a full-time graduate student at the start date of the position.

Familiarity in one or more with using a variety of social media platforms, web site management, Canva for graphics, photography or video editing experience is preferred.

Have working knowledge of Microsoft Office Professional (Excel, Access, Word, PowerPoint, Outlook, and Publisher).

Ability to work with and relate to a diverse public required.

Demonstrate strong organizational, time management, and written and verbal communication skills.

Ability to manage multiple demands in a setting of high student contact and interaction required.

Must possess critical thinking skills and ability to understand and communicate university policies.

Working Relationships

Reports to the Assistant Director of New Student and Transitional Programs (indirectly reports to the Director of New Student and Transitional Programs).   

Provides direction to student staff and students in programs.

Works with a diverse group of internal and external individuals and university departments.

Physical and Mental Effort

The position requires:

  • Remaining in a stationary position at a desk or workstation for extended periods for several assigned duties.
  • The use of computers and computer systems (hardware and software) to set up functions, enter data, and process information.
  • Extensive physical movement during special events to oversee activities and interact with attendees and physical manipulation of loads up to 20 pounds in preparation for events.

Regular Work Hours/Travel Requirements

Office hours may occur during the time-frame of Monday through Friday, 8:00 a.m. to 4:30 p.m.

Occasional irregular or extended hours, including evenings and weekends, may be necessary to complete departmental deadlines or during special programs and events.

Compensation

Hours Per Week: 20
Pay Per Hour: $8.00

Tuition Waiver:

  • Summer 2022: 3 credits
  • Fall 2022: 6 credits
  • Spring 2023: 6 credits
